Here at KJ Talent & Partners (“KJTalent”, “we” or “us”) we feel privileged to support your recruitment journey and are committed to ensuring the privacy of all our candidates, clients and users of our website. The purpose of this privacy statement is to outline the types of personal information we collect, how we then use it, with whom we share it, and the rights you have in relation to your personal information.

Personal information we collect

In the course of our business we may collect information about you in various ways, depending on whether you are a candidate or client (or both).

As a candidate

  • If you provide us with information directly (examples of this would be when you contact us about employment opportunities, when you apply for a role through us, when you attend an interview or contact us via our website, email or telephone);

  • If we acquire your information from third parties (examples of this would be reference providers (referrals), and publicly available sources such as company websites, internet searches or social media platforms such as Linked-In.

As a client

  • If we are provided with your information in the course of supporting our client (the company that you work for) with our recruitment services.

What does this personal information look like?

As a candidate

  • We will collect and process information about you such as your name, your contact details, your CV, your role preference and salary expectations, references or referees’ details. We will record and store any information pertaining to your right to work in the UK, such as your proof of identity and your visa status. We will also process and store information such as answers you provide to us during interview and assessment.

As a client

  • As a representative of our client companies, we will collect and process relevant information about you such as your name, your contact details and other information that we obtain as we communicate with you via telephone and email, or through the results of internet searches.

Why do we process your personal information?

As a candidate, we process your information for the following purposes:

  • to assess eligibility for a role, shortlist and select candidates;

  • to enable our clients to offer you a role and assist with your start details;

  • to monitor our recruitment practices;

  • for business administration, including record keeping;

  • to send you email marketing communications (where you have provided consent);

  • to create anonymised salary surveys and other reports to indicate general trends and market insights;

  • to comply with any legal obligations to which we are subject and to exercise, defend or establish our legal rights.

The legal basis for our processing your personal information in this way is as follows (one of)

  • to pursue our legitimate business interests whilst not overriding your interests to have your personal data protected (for example monitoring our recruitment practices or creating anonymised reports);

  • compliance with a legal obligation to which we are subject (for example verifying identity and right to work);

  • your consent, which we will gain before we process the information (for example disclosing your information topotential employers or sending you marketing material).

In some instances, we may use information about you in ways that are not described above. In this case, we will provide a supplemental privacy notice to explain such use.

As a client, we process your information for the following purposes:

  • to provide recruitment services to our clients, (for example to find potential candidates for your role, to communicate with you about them, to support the interview process such as interviews, assessments, tests and to support the onboarding of successful candidates;

  • to monitor our recruitment processes;

  • for business administration, including record keeping;to send you email marketing communications we think will be of interest to you;

  • to create anonymised reports to indicate general trends or market insights;

  • to comply with any legal obligations to which we are subject and to exercise, defend or establish our legal rights.

The legal basis for our processing your personal information in this way is as follows (one of)

  • to pursue our legitimate business interests whilst not overriding your interests to have your personal data protected (for example to provide recruitment services to the company you represent, monitoring our recruitment practices or internal administrative purposes);

  • compliance with a legal obligation to which we are subject (for example verifying identity and right to work).

Who do we share your information with, and why?

As a candidate, we may share your information with:

  • potential employers when we submit your details to a role (with your verbal or written permission);

  • external service providers, such as online testing providers designated by the client;

  • other third parties, where required or permitted by law (such as regulatory authorities; government departments; past,potential or future employers).

As a client, we may share information about you with:

  • potential candidates when we communicate with them about a potential role;

  • our CRM service provider, Ikiru Voyager; and

other third parties, where required or permitted by law (such as regulatory authorities; government departments;and in the context of organisational restructuring.

Transfer of your personal information

As a candidate, we may transfer your personal information outside the EU where the potential employer for the role is located or where the responsible department for the role is located. This will apply even if the role is based within the EU. For example, if the recruiting team is based in the USA, we would have to transfer your personal information to the USA to allow them to assess your suitability for the role irrespective of where the position was based.

As a client, we do not transfer your personal information outside of the EU.

How do we protect the information we have about you?

We take your data security seriously. We have implemented appropriate technical and organisational measures to protect your personal information to prevent unauthorised disclosures, alteration or destruction. Where appropriate, we use encryption and other technologies to assist in securing the information you provide, and we require our service providers to comply with strict data privacy and security requirements.How long will we keep information about you?We will retain information about you for the period necessary to fulfil the purposes for which the information was collected. After that, it will be deleted. This period will vary depending on the purposes for which the information was collected.

What are your rights in relation to your personal information?

As a client and as a candidate, you may have some or all of the following rights in respect of the information about you that we hold:

  • request us to give you access to it;

  • request us to rectify it, update it, or erase it;

  • request us to restrict our using it, in certain circumstances;

  • object to our using it, in certain circumstances;

  • withdraw your consent to our using it where the processing was based on your consent;

  • data portability, in certain circumstances;

  • opt out from our using it for direct marketing; and

  • lodge a complaint with the Information Commissioner’s Office.
